Step 8: Schedules and Triggers

Step 8 asks when should this team start work? Schedules and triggers start work without a person asking. A Force only acts once it is deployed, so nothing starts until step 9. Skipping is fine: you can add them later from the Force's Schedules and Triggers tab.

Schedule

Starts work at set times. Schedules use fixed intervals, not cron expressions.

  1. Choose how often

    Pick an interval: Every 15 minutes, Every hour (default), Every 6 hours or Daily.

  2. Set a limit (optional)

    Enter Stop after N runs to end the schedule automatically.

  3. Say what to do

    In What should the team do each time it wakes up? describe the job. This is required.

  4. Add it

    Click Add schedule. A toast confirms Schedule created.

Existing schedules show the interval, a status badge, the next run and "N runs done of M". Click Cancel and confirm Cancel schedule to stop one. With none, the card says "No schedule — this team runs only when you ask it."

Email trigger

Starts work when a matching email arrives. It supports Outlook and Microsoft 365 only. Replies are drafted for approval; nothing is sent automatically.

  1. Connect a mailbox

    In Connect a mailbox, optionally set Shared mailbox, Folder and, if you have several Outlook accounts, Sign in as.

  2. Add filters

    Add Sender and Subject filters. Type a value and press Enter. Any match fires the trigger. Conditions, a Playbook and a Poll interval can also be set. Intervals run from every minute (fastest) up to once a day.

  3. Pick a routing mode

    Choose Watch the inbox and match on arrival, or Route matching mail into its own Outlook folder.

  4. Connect

    Click Connect mailbox.

Existing triggers can be paused and resumed (a resumed trigger starts from now, not from the backlog) or removed. Each shows a health label such as in sync, drifted, rule missing or not checked yet.

Standup

A recurring check-in summary. Choose an interval (default Daily), add an optional note, and click Turn on standup. A regular digest of the team's activity arrives in your notifications. Only one standup can be active per team.
