AI Employees
An AI employee is one member of a Force: a specialist with a name, a role, instructions, access to certain systems, and a level of trust. This page covers the AI Employees page, the team roster inside a Force, and the things you can do with each member.
Roles and trust
Roles decide which playbook steps a member is given.
| Role | What it does |
|---|---|
| Manager | Leads the team: decides who gets a case and presents the finished result. Recommended |
| Worker | Does the work. A team can have several. If nobody is a Worker, every other member is treated as one |
| Synthesizer | Combines everyone's separate answers into one |
| Critic | Reviews the synthesizer's draft before it is final |
| Actor | Performs the final action, such as sending a reply or writing to a system |
Manager, Synthesizer, Critic and Actor are one per team: if two people hold the same role, only the first hired is used.
Trust decides how much a member may do without asking.
| Level | Meaning |
|---|---|
| Shadowing | Actions wait in the approval queue for a person. New members start here |
| Learning | Currently works the same as Shadowing: manual approval stays on |
| Trusted | Can act without the approval queue, still bound by its system access and permanent limits |
The AI Employees page
Click AI Employees in the left sidebar (/nexus/ai-employees). It lists "Everyone hired into your Forces — one card per hire, with the Force they work in, their role, how far they are trusted and the model they run on."
- Tabs: Active, Draft and Archived, with counts. A member's tab follows its Force. An archived member is always Archived. Paused members stay under Active with a Paused pill.
- Search AI Employees matches name, role, Force name or model.
- Filters: Force (All Forces), Role (All roles) and Trust (Any trust).
- Sort: Working first (default), Name, Force or Recently hired.
- The page refreshes about every 30 seconds.
Each card shows the avatar, name, the Force (a link), the role, a trust track (Shadow, Learn, Trusted), the model (or Default model), and two numbers: Completed Today (UTC day) and Needs Approval. Click the card to open its Force. Admins also see a pencil icon (Edit) that opens the member's edit page.
| Situation | You see |
|---|---|
| Nobody hired | "No AI Employees yet — Hire a member into a Force and they appear here, one card per hire." |
| Filters hide everything | "No AI Employees match these filters." |
| Empty tab | "No (tab) AI Employees." |
Hire a member
Open the hire form
In a Force workspace click Hire member, or use Add member in the setup wizard. Admins only.
Screenshot placeholderScreenshot to add: The Hire a member form showing the Identity tab. Fill in the four tabs
Identity, Job, Access and Authority. Every field is explained in Step 7: Member Configuration.
Bring them on
Click Bring (name) on. A toast says the member is on the team and shows their starting trust.
If you are not the Force owner, the form says "This member will run on the team owner's connections, not yours."
The Members tab
Open a Force and choose the Members tab. The heading is Your team. Archived members are hidden unless an admin clicks Show archived.
A member card shows the name, a Paused badge when paused, an autonomy meter (Shadowing, Learning or Trusted), money spent, the number of cases they took part in, the model, the role and their instructions (two lines).
Limits show as dashed lines when they apply:
- Always: their permanent limits, for example "Never writes anywhere".
- Only these systems, Only these Studio tools, Only these skills: narrowed access.
- Signs in as: the connected account they use. If it is missing you see a warning that every action on it stops.
- Runs on (name)'s AI key.
Change a role
Admins click Change role, then pick one of the five roles. Each option explains its job and what happens "Without one". Manager is marked Recommended when nobody holds it. Choosing a one-per-team role moves the current holder to Worker.
Hand off a job
Click Hand off a job
Admins only. For a manager the dialog reads "Hand a job to (name)": the job runs through the playbook, which decides who does what. For anyone else it reads "Give (name) a direct job": they work alone, outside the playbook.
Describe it
Type under What should they do? ("Describe the task…") and click Start.
Follow the result
A manager hand-off opens the Ask page ("(name) is on it"). A direct hand-off shows "Handed off to (name)" and the work appears under See work.
A draft Force refuses a hand-off to a manager. A direct job is limited only by the member's own permanent limits.
See work
See work, or clicking the card, opens a drawer with the member's recent turns: who asked, a status, a time and a step checklist. It refreshes every 8 seconds, and scrolling up loads older turns. Empty: "No runs yet — Hand off a job to (name) to see their work show up here."
Try on past cases
Try on past cases (Operate access or above) replays the member against the team's last three real cases, read-only. Each case shows Actually happened next to what (name) would have done. The drawer is titled Try on past cases · read-only, runs automatically, and has Run again.
Empty: "No past cases to shadow yet — Ask your team something first."
Edit, pause, archive
| Action | What it does |
|---|---|
| Edit | Opens the member form. If a teammate changed the same member, you resolve each field with Keep mine, Take theirs or Merge |
| Pause | Keeps them on the roster but excludes them from runs. Toast "Member paused" |
| Resume | Includes them again. Toast "Member resumed" |
| Archive | Removes them from the team after "Archive (name)?" Toast "Member archived" |
| Restore | Brings back an archived member, from Show archived |
For a member hired from a persona, Re-sync from persona refreshes them, but resets trust to Shadowing.
